Strategic Path: The Best AV Experience Is the One You Don't Notice
Fresh off the floor at Integrate 2025 in Sydney, one conversation is still ringing in my ears. I had the pleasure of moderating the AVIXA panel, "Universal Connectivity: Strategies for Ensuring Platform-Agnostic Conference Rooms," and the insights from the experts on stage crystallized a fundamental truth of our industry: the user experience is everything.
A huge thank you to the panelists who made it such an engaging session: John Ungerer of Lightware, Tom Dahlenburg of Crestron, Thomas Lynch of Pro AV Solutions, and Jason MacBride of Neat. Together, we explored the challenge of creating meeting spaces where technology empowers, rather than obstructs, collaboration.
The core of our discussion? Designing an environment where any user, regardless of technical skill, can confidently walk in and run a meeting on any platform. The phrase of the day was, "The complexity is in the simplicity."

The Myth of the Magic Bullet
One of the first things we established is that there is no single solution for platform interoperability. The idea of a "one-size-fits-all" room is a myth. According to a 2023 Metrigy report, nearly 72% of companies use two or more video meeting providers. This multi-platform reality means our design approach must be strategic and nuanced.
Our panel agreed that the right strategy is a blend of options tailored to an organization's specific culture and workflow. This includes:

Bring Your Own Device (BYOD): Offers ultimate flexibility, allowing users to drive the meeting from the familiar environment of their own laptop.

Direct Guest Join: A powerful tool for native room systems (like a Microsoft Teams Room or Zoom Room) to connect to third-party meetings (e.g., a Teams Room joining a Webex call) with a single touch.

Legacy Connectivity (SIP/H.323): Still a crucial component for organizations that need to connect with traditional video conferencing systems.
The key is not to pick one, but to design a system that intelligently incorporates the right tools for the right purpose.
Designing for Simplicity, Not Features
This brings us to the most critical takeaway: technology is only half the battle. If a user walks into a room and feels intimidated by the technology, we have failed, no matter how powerful the system is. Research consistently shows the cost of this failure; a 2019 study by Doodle estimated that ineffective meetings, often plagued by technical delays, cost U.S. companies a staggering $399 billion annually.
The goal is to create an invisible room—a space where the technology is so intuitive and reliable that it disappears into the background, allowing participants to focus solely on their meeting.
This philosophy was perfectly captured in a quote from Antoine de Saint-Exupéry that came to mind during our talk:
"Perfection is achieved, not when there is nothing more to add, but when there is nothing left to take away."
In AV design, this means removing steps, not adding buttons. It means a one-touch join, automatic camera framing, and clear, crisp audio without needing an instruction manual. The most sophisticated back-end engineering should result in the simplest front-end experience
Future-Proofing and the True Cost of Ownership
Finally, we touched on the importance of looking beyond the initial installation. The collaboration landscape is in constant flux. A solution that works perfectly today might be challenged by new standards or platforms tomorrow.
When selecting hardware, Total Cost of Ownership (TCO) must be a primary consideration. This means choosing solutions from partners committed to evolving their products through firmware updates. An investment in hardware is an investment in an ecosystem that must be supported and adapted for years to come. Future-proofing isn't about guessing the future; it's about choosing systems with the flexibility to adapt to it.

As you approach your next AV room design, I encourage you to carry this mindset. Focus on the person, not just the platform. Strive to remove every possible point of friction. Build an experience, not just a system. Because the ultimate measure of our success is when the technology becomes so simple that it disappears entirely.
