Education, or equivalent experience

Experience Level:

• Minimum 1 year of project coordination or project management experience, preferably in fast-paced environments.
• 2+ years of experience supporting live events, educational programming, or B2B content coordination (preferred).
• Demonstrated experience working directly with speakers, partners, or senior-level stakeholders.
• Experience within trade shows, professional associations, or technology-driven industries is highly desirable.

Technical Skills:

• Strong PowerPoint and Excel skills (deck review and formatting)
• Project management tools (ClickUp or similar)
• Webinar platforms (Zoom or similar)
• Basic reporting and tracking capabilities

Role Overview

The Live Content Contractor supports the operational execution and coordination of AVIXA LATAM educational programs and conference sessions.

The role focuses on high-quality execution, speaker coordination, and operational reliability while progressively assuming greater ownership of selected initiatives.

This position reports to the Director, Live Content LATAM.

1. Session & Webinar Coordination

• Coordinate assigned webinars and live sessions end-to-end
• Manage speaker communication, deadlines, materials collection
• Ensure presentation alignment with guidelines and quality standards
• Support rehearsals and technical checks

2. Conference & Tradeshow Support

• Support education tracks at InfoComm América Latina and regional congresses
• Coordinate onsite session logistics preparation
• Track timelines and ensure deliverables are met

3. Documentation & Process Compliance

• Maintain updated project trackers
• Organize session materials and documentation
• Flag operational risks proactively
• Support post-event reporting

4. Growth & Development Path

• After consistent performance (6–12 months), may assume ownership of a content track
or regional initiative
• Participate in content planning discussions
• Support continuous process improvement

KPIs

• 100% on-time execution of assigned sessions
• 95%+ speaker material submission compliance
• Zero critical session failures due to operational oversight
• Clear and organized documentation
• Demonstrated ability to independently manage assigned projects within 6 months

Weekly Reporting Expectations

During weekly alignment calls:

1. Session pipeline status
2. Speaker confirmations and pending items
3. Risk flags and mitigation plan_
4. Capacity and workload updates
