The Product Servicing Lens

The Product Servicing lens addresses a system's maintainability, its capacity to be serviced, repaired, upgraded, and decommissioned in a way that minimizes waste and preserves value. For AV, that comes down to three questions.

Can it be maintained? By a competent AV technician, without proprietary tools, dealer-locked documentation, or manufacturer-direct spares that create lead time and single-point-of-failure risk?

Can it be upgraded at component level? When processing demand outgrows the hardware, can it be replaced without replacing the system? When a display reaches end of life, can it be swapped without touching the control infrastructure?

What's the end-of-life story? Are the materials recyclable? Is there a take-back scheme? Is component-level recovery practical, or does the system go out as an assembly?

None of these questions are new to experienced practitioners. What P5 adds is structure and accountability, making them a documented part of specification rather than an informal consideration that may or may not surface.

Maintainability is also a sustainability variable, not just a service revenue variable. A system that's expensive to maintain gets maintained less, faults go unaddressed, energy waste accumulates, and the system reaches end of life earlier than it should.

Five Questions Before You Spec

Upgradability is where the gap between short-term and long-term thinking is most visible. The core question: is the system designed to evolve, or designed to be replaced? Either answer can be legitimate , what matters is that the choice is conscious and the upgrade trajectory is documented. Before a specification is confirmed, ask:

  1. What's the technology roadmap? Is this product on the leading edge of its support lifecycle, or the trailing edge?
  2. What does a partial upgrade look like? A component swap, or a system rebuild? The answer changes the total cost of ownership significantly.
  3. What happens when the network protocol changes? NDI, Dante, AVB, ST 2110; a system built on a single proprietary protocol has a different five-year profile than one designed around open standards.
  4. What's the software support policy? If the platform needs a hardware upgrade to stay supported, that lifecycle commitment belongs in the specification record.
  5. Is there a migration path to the next generation, or is each product generation a clean break?

Procurement Beyond Price and Lead Time

The Sustainable Procurement Practices lens is where the real leverage sits. It means evaluating suppliers against criteria beyond price and delivery: environmental credentials (Energy Star, EPEAT, TCO, take-back programs, published carbon data); labor practices across the supply chain, including fair terms for subcontractors; local sourcing, which cuts transport emissions and builds supply chain resilience; and contract language that makes those commitments enforceable.

Integrators have more leverage here than they often realize. Specifiers who consistently ask circularity questions signal demand to the supply chain — and that signal shapes what manufacturers design. And integrators who build refurbishment, reuse, and take-back into their service offer, AVIXA's RED program provides a framework, create business value from circularity rather than absorbing it as a cost. P5 doesn't ask you to overhaul your supply chain overnight; it asks you to introduce criteria that build toward a sustainable procurement baseline over time.

Put It in the Contract

What gets written into a contract gets managed. What doesn't, doesn't.

Supplier contracts can include minimum firmware support commitments (say, seven years from launch), take-back provisions, spare parts and service documentation availability for a defined period, and WEEE/RoHS declarations. Subcontractor contracts should state explicitly who removes and disposes of decommissioned equipment, and what documentation confirms responsible disposal.

The Contamination and Pollution element is the compliance floor: equipment containing hazardous materials — certain display technologies, battery systems, older components, needs documented specialist disposal routes, identified at specification, not discovered at decommissioning.

None of this requires a new contract template. It requires a few added clauses, and a procurement process that reviews compliance against them, not just against delivery milestones.

What This Looks Like in Practice

One consistent additional question at three points in the project lifecycle.

At specification: document the serviceability and upgrade profile alongside performance, firmware support horizon, modular upgrade options, proprietary dependencies.

At procurement: add sustainability criteria to supplier evaluation. Start with what's achievable, WEEE compliance, energy certification, fair subcontractor terms — and document it, so it becomes a standard rather than a one-off.

At project closure: confirm disposal pathways for specialist materials, document take-back and refurbishment options, and brief the client's facilities team on their maintenance options and any serviceability constraints.

The gap between current practice and sustainable practice isn't as wide as it looks. The tools exist. The framework is available. What's needed is intentionality — asking these questions consistently, documenting the answers, and holding the supply chain to the commitments it makes.
