Intelligent Workplace: Who's Answering for the Workforce That Uses It?

Every AV or UC integrator has lived this moment: the room ships on spec, the client signs off, and six months later adoption is flat. The technology worked. Something else didn't.
Two vendor moves this August make the pattern impossible to ignore. Cisco published a global blueprint built on 30-plus capital projects unifying network, sensor, and collaboration infrastructure. Zoom launched Zoom Spaces, AI-powered room personalisation, adaptive cameras, an agentic whiteboard, built to stop meeting context evaporating the moment a call ends. Both are strong WorkTech plays. Both are being described, by the vendors themselves, as building an intelligent workplace.
Neither claim is really about the room. Zoom's own framing says the target is context that survives past the meeting, decisions, ideas, momentum. But nothing in a room personalisation feature or an adaptive camera answers whether the people leaving that room have the authority to act on what got captured, whether the workflow downstream has the governance to carry it through, or whether the space itself was ever designed around how that particular team collaborates. A room that remembers a decision is not an organisation that can execute on it.
This is the sequencing gap integrators are increasingly exposed to. Clients are starting to ask the question themselves: we bought the infrastructure, why isn't adoption moving? An integrator who can only answer with more infrastructure, a firmware update, an additional sensor, a room refresh, gets read as an installer. An integrator who can name the gap, this is a workforce or workflow question, not a technology question, and either address it or partner with someone who can, gets read as a strategic advisor.
The practical shift is not technical. It's positioning. Selling WorkTech capability without a credible answer to how it gets adopted inside a client's actual workforce and workflow is a defensible position for exactly as long as clients don't ask the sequencing question. That window is closing. The integrators and vendors gaining ground are the ones building for how their infrastructure integrates into a workforce's actual capability and a workflow's actual governance model, not just for what the infrastructure alone can do.
