Smart meeting room management and professional visitor management at XXL Nutrition

XXL Nutrition has grown into an international player in sports nutrition and supplements. From Deurne, a growing team works daily on product development, logistics, marketing, and e-commerce. This growth is also reflected in the office: more meetings, more dynamics, and more visitors. Where processes previously worked informally, there is now a need for more structure.

Room booking: overview and control over meeting room usage

Meeting rooms were reserved via Google Calendar. In practice, questions often arose at the meeting room door: is it available, until when, and can I use it now? This regularly led to confusion and unnecessary coordination. XXL Nutrition was looking for a solution that:

Integrates with Google Workspace
Provides real-time insight at the room itself
Enables ad hoc room reservations

A solution based on Reflex Online software, combined with interactive ProDVX touch displays, was selected. In phase one, three meeting rooms were equipped with 10.1" displays featuring LED indicators, making it immediately clear whether a room is available or occupied.

In daily use, employees notice that:

The room status is immediately visible
Booking on the spot is easy
Existing reservations are automatically displayed

After the initial period, two additional rooms were equipped with 10-inch displays in phase two. A total of five meeting rooms have now been fitted with this solution.

Visitor registration: visibility and audit readiness

There was also a second challenge. XXL Nutrition receives raw material suppliers, logistics partners, inspection bodies, and business relations on a daily basis. In an environment where production, storage, and office functions come together, having insight into who is present is essential.

With upcoming audits, the need for professional visitor registration increased. In addition to registration upon arrival, there is now an up-to-date attendance list at all times.

That is why a registration kiosk has been installed at the entrance, featuring a ProDVX 10.1" touch display that allows visitors to register independently. The combination of interactive hardware and digital registration provides a real-time overview of everyone present in the building.

In practice, this provides:

Insight into who is present
Logging of check-in and check-out times
An up-to-date list in case of emergencies

The implementation was completed within a short timeframe, ensuring the organization was prepared for the planned audits.

The power of seamlessly integrated software and hardware

Two solutions, one platform

Room booking and visitor registration were introduced separately but reinforce each other in daily practice. Meeting rooms are transparent and easy to manage, visitors are received in a structured way, and attendance is visible at all times.

For this implementation, interactive ProDVX Android Panel PCs were selected, which integrate seamlessly with Reflex Online software and connect easily to Google Workspace. Thanks to this combination, XXL Nutrition now has a scalable solution that can grow alongside the organization.

Within the project, the most suitable ProDVX models were selected for each use case. For the registration kiosk at the entrance, an APPC-10XP was chosen, as LED indication is not required. For the meeting rooms, however, this is essential. Therefore, they are equipped with interactive displays featuring a full RGB LED status bar, such as the APPC-10SF.
